Vacancy: Stock Controller – Harbour Bay (Simon’s Town)

Role Summary:

The incumbent will be responsible for maintaining adequate levels of surgical, ethical, and consumable stock in the theatre storeroom, for hospital use and dispensary to ensure the availability of stock and optimal patient care. Additionally, the stock controller will be responsible for ordering supplies in line with the AVL Preferred Products List. Management of stock data on Trifour to ensure that it is an accurate reflection of the actual stock levels and processing of all invoices including the receiving and sending of documents/invoices between suppliers and Head office.

Key Outputs:

• Ordering & Receiving Stock

• Using the latest AVL Preferred Products list to determine the selection of stock to be ordered.

• Managing stock levels so that there is no shortage or over-sufficiency of stock required by the Facility.

• Using & managing the Ordering System to correctly order stock from suppliers

• Follow up on outstanding orders by requesting a backorder report from supplying companies

• Receive stock, validate that invoice & delivered stock is correct & signed for.

• Receipt invoice onto Trifour, print & apply barcodes, and pack into relevant bins in the Stock Rooms.

• Manage and implement the Surgical Standardization Process in the theatre.

• Unpack stock according to FIFO and FIFO principles and ensure that the correct stock has been received.

• Unpack replenishment stock.

Stock Management & Admin:

• Daily management of the Negative Stock Report to ascertain correct stock levels and receipting of stock items to rule out stock losses due to theft. Make necessary adjustments on Trifour as NSR must remain at R0.00 balance.

• Daily management of Price Update reports and necessary changes to the Stock Master to ensure that the AVG Cost Price per Unit is not incorrectly affected by changes in Pack size.

• Monitor and control aged (or items due to expire) and excess stock.

• Send Code Request Forms (CRF) to Head Office for stock items that don’t have a Hospital code and/or need to be loaded onto the Trifour stock master.

• Daily check that price update has run successfully

• Weekly check – Prices not updated report

Preferred Products List (PPL):

• Take note of PPL updates and order accordingly. Inform the Facility Manager of changes or updates.

• Follow the 80:20 principle. 80% PPL items and 20% non-PPL items.

• Provide feedback to the Facility Manager and Head office regarding any stock issues, incl. resistance from doctors and staff regarding specific stock items.

Stock Take:

• Monitor changes to stock bins and make necessary changes to Batch Stock Binning.

• Pull the Stock Price Comparison report from Trifour and use it to determine any Cost Price per Unit errors on the Stock master. Adjust Stock Master accordingly.

• Ensure that the stock allocated in the Batch Stock Binning is an accurate reflection of the storerooms and Bins. Adjust if necessary.

• Print Stock Take Counting Sheets

• Audit Counting Sheets for any counting/pack size mistakes and make relevant changes to Batch Stock Binning.

• Capture Stock Take and Audit before posting stock take to Trifour.

• Print the appropriate stock reports before and after stock take:

• Stock variance before stock take

• Stock variance after stock take

• Process to follow for stock take.

Skills Profile:

• Grade 12 or equivalent NQF level 4 qualification.

• Relevant tertiary qualification would be advantageous.

• Previous experience in stock management.

• Experience and knowledge of surgical and ethical stock products.
